Starting point

Without an image of the condition on entry, you pay for the argument, not the damage

“Your wash scratched my paintwork.” That sentence comes up in every business, and some of these claims are justified. But the matter is rarely decided on the law; it is decided on who can show what. Was the scratch already there? Was the vehicle positioned on entry the way the customer describes? Anyone without an answer is structurally in the weaker position in the discussion — even when the wash ran flawlessly.

In practice the way out is almost always the same: you pay. Not out of conviction, but because a goodwill payment is settled faster than a dispute. That is a commercially understandable decision — and precisely why it adds up over the year without ever appearing in any analysis.

Justified and unjustified can no longer be told apart

Without documentation you treat both the same. That loses you money on the unjustified cases — and the justified ones escape your notice, even though they can point to a technical problem with your wash.

Process

Three steps between the entrance and a completed record

  1. Trigger and record

    Four fixed cameras are positioned so that together they show the vehicle at the entrance from behind, from the front, at an angle from the side and from above. The system starts recording by itself as soon as a vehicle enters the capture area. Nobody has to press a button, and nobody has to remember.

  2. Read the plate and match it

    Image recognition reads the number plate from the image and attaches it to the record along with the date and time. If a plate is not read reliably, the record is still stored in full and can be found by time.

  3. Find it again

    If a customer reports damage days later, you enter the plate or the time window and see the condition of the vehicle at the entrance — as long as the record falls within your retention period.

What changes at the entrance

The camera does not make your wash safer. It changes how a damage claim proceeds — and that is the only point on which the investment is decided.

The conversation starts from the image, not from the assertion

Instead of “that wasn't there before” against “that was already there”, there is a timestamped record. Some claims are settled in the first conversation as a result — and you settle the justified ones faster, because you know the condition.

Searching takes seconds instead of hours

Enter the plate, open the record. Without a system, the same task means going through till receipts, asking staff, collecting phone photos — and still not being able to show anything at the end.

You see what actually happens

If claims cluster around one vehicle type or one time of day, that points to a technical problem with your wash. Without documentation that signal stays invisible, because every case is negotiated on its own and then forgotten.

We supply the data processing agreement, the data protection impact assessment and the description of the technical and organisational measures. You remain the controller — but you are not starting from a blank page.

Scope

Is this the right system for you? Vehicle documentation is right for you if you need an image of the condition on entry when damage claims come in and today you pay for lack of evidence. If instead you want to prevent the collision inside the tunnel, vehicle tracking is the better fit. And if you want to handle, answer and file the claims afterwards — case file, signature, reply letter — that is the cloud platform. The camera supplies the evidence; it does not manage it.

What this calculation is — and what it is not. The calculator multiplies three values you set yourself: damage costs avoided per year = cases × rejection rate × average cost per case. The running costs you assume are deducted from that; the one-off investment is divided by the remaining monthly amount. There is nothing more behind it, and that is deliberate.

Not included are: possible effects on your insurance premium, the work for the data protection documentation on your side, and damage your wash actually caused — you pay for that with or without a camera. Also not included is the time you spend handling a case; that is calculated by the tool on the page for the cloud platform. Do not stack the two results — it is the same case seen from two angles.

What is one-off, what is monthly — and what the figure depends on

The entry point is €5,000 excl. VAT for a system at one capture point. On top of that comes a monthly amount for running the system and support. What your site costs specifically depends mainly on how many entrances are to be covered and how the cable routes to the equipment room run. We state the exact amount after a short conversation — in writing, with every component itemised.

Software updates, security updates, data backup and a contact for faults. The figure depends on scope and is itemised in the quote — it starts on successful commissioning, not when you order.

What determines your price

  • Number of capture points. Every entrance to be covered needs its own cameras, its own installation and its own cabling.
  • Angles per point. Four angles are our recommendation, because they show the vehicle all round. Fewer is possible and cheaper — but it shrinks exactly the part of the image that will be argued over later.
  • Site conditions. Mounting heights, existing conduits, distance to the equipment room, backlight at the entrance and night operation determine the installation effort and the lighting needed.
  • Connection to existing systems. Capture with a search function is the baseline. Linking it to point-of-sale or subscription data is project work and is costed separately.
  • Number of sites. A volume discount applies to multiple systems — the more sites, the lower the monthly amount per system.

Contract and terms

  • Minimum term of 6–12 months per system from commissioning, after which it can be cancelled with 3 months' notice to the end of the month
  • Payment: 50% on order, 50% on delivery — we carry the time between order and commissioning, not you
  • Installation usually 3 to 6 weeks after the deposit
  • The monthly amount starts on successful commissioning; part months are charged pro rata
  • Public and product liability insurance with €5 million of cover for personal injury and property damage

Existing cameras can occasionally be reused if position, viewing angle and network connection are suitable. Whether that applies to you is something we see at the site visit — we cannot promise it beforehand.

Your data

Number plates are personal data — and are treated as such here

A number plate can be traced to a keeper. That is why we treat the footage the way personal data has to be treated — and not the way that would be technically most convenient.

This website too. It runs without trackers and without a cookie banner. That is a deliberate choice — anyone who takes other people's data seriously should start with their own visitors. What applies legally to CCTV is set out in our guide CCTV at the car wash and the GDPR .

Critical questions

The questions that really get asked before buying

Is this even permitted? I do not want a letter from the data protection authority.

Yes, under clear conditions. Processing is normally based on legitimate interest under Article 6(1)(f) GDPR — securing evidence for damage claims is a recognised purpose. For that you need a documented legitimate interests assessment, visible signage before the monitored area, an entry in your record of processing activities, a retention and deletion policy with specific periods, and a data processing agreement with us. We supply the documents for this. You remain the controller within the meaning of the regulation — we cannot take the obligation off your hands, but we can take almost all of the work. What we do not provide: legal advice on individual cases. If the situation is sensitive, involve your data protection officer or a solicitor.

How long is the footage kept — and is that enough for my cases?

You set the period, not us, and it belongs in your retention and deletion policy. Periods of a few days up to around two weeks are common and defensible to supervisory authorities, depending on your legitimate interests assessment. Blanket long-term storage “just in case” is not permitted, and we do not set it up.

That leads to a limitation we would rather name here than later: if your customers typically report damage only after several weeks, the system no longer documents those cases. So before you invest, check how old your claims are on average — that determines the value more than any technical specification.

What about darkness, rain or snow?

In darkness the result depends on the lighting. That is why we look at the lighting conditions at your entrance before quoting and include additional lighting where it is needed — better in the quote than in a complaint. Rain costs image sharpness but does not prevent capture; water droplets on the lens are a bigger problem than rain in the air, which is why the cameras are mounted with weather protection and facing away from the prevailing wind.

To be straightforward: in heavy snowfall, dense fog and with a snow-covered plate, automatic recognition can fail. The image is still recorded and can be found by time — so the evidence of the vehicle's condition remains, only the convenient route via the plate search is unavailable for that record.

What about dirty or foreign number plates? I wash a lot of vehicles that arrive filthy.

That is precisely why we will not quote you a recognition rate in per cent without having seen your entrance: any such figure depends on lighting, approach angle and vehicle mix, and without those details it would be an assertion. What we can say: German and the common European plate formats are read reliably. Heavily soiled, bent, partly obscured or unusually styled plates can fail. What matters is what happens then: the record stays fully stored, you find it by date and time and you see the vehicle. The photographic record — the actual purpose of the system — does not depend on the recognition rate.

Who is allowed to view the footage — you as well?

Access is password-protected and only possible with server access on site. You decide who gets the password; we recommend keeping that group small and naming them in your retention and deletion policy. As for us: we access the system for maintenance and fault clearance — that is why the data processing agreement exists, which governs and limits exactly that. A reason to look at your footage only arises if you call us in about an image problem. If you want to restrict remote access, say so in the initial call — we will set it up that way, and you accept longer response times for faults in return.

Can this be connected to my point-of-sale system?

Not as a blanket answer, and anyone who promises you otherwise without asking does not know your point-of-sale system. Whether a connection is possible depends on whether your system has a documented interface or whether the data can be extracted cleanly some other way. Tell us the manufacturer and version in the initial call and we will tell you what is possible — including if the answer is that it is not. Important for your planning: vehicle documentation works entirely without this connection. It is an extension, not a prerequisite, and is costed as a separate item.

This is what a record looks like before anyone needs it

A single record, as the system files it automatically for every vehicle: four angles in one view, with date and time in the image. We have obscured the number plate as well as brand and location markings for this publication.

Date and time are written permanently into the image and are therefore part of every record. We do not claim tamper-proof evidence that would stand up in court — in practice this is about being able to show the customer an image, not about winning an expert opinion.
